Traffic Coordinator

We are looking for a Traffic Coordinator who will be responsible for managing the scheduling of project resources. The Traffic Coordinator will report into the Traffic Manager and work closely with the Studio Director to schedule, monitor, manage and communicate workflow across the agency getting the right person in the right place at the right time ensuring utilization is at capacity across Ariad.

Accountabilities

Traffic coordination and resourcing

  • Allocates workflow tasks coming in and out of the Shared Services groups (Creative Services, Technology and Editorial).
  • Monitors delivery schedules and works with project managers to ensure on time delivery
  • Ensures that the right person is resourced for the task
  • Reviews project schedules and ensures commitment to timelines
  • Assist in implementing and updating the process work flow
  • Provide proposed solutions rather than being asked for solutions to resourcing and scheduling conflicts
  • Expedites and manages resourcing conflicts
  • Monitors stalled jobs and moves them forward
  • Communicates with Project Managers on resource status
  • Provides continuity in times of employee vacation, etc.

Project collaboration and support

  • Manager has confidence that tasks are running smoothly, on time
  • Stakeholders are given sufficient notice of need to review materials
  • Account teams and project teams feel supported with workload
  • Email correspondence is professional and proofread before sending
  • Knows the skills and capabilities of Ariad’s shared resources
  • Ensures understanding of effort vs. duration before commencing work
  • Uses good judgement in how and when to escalate workflow or resourcing issues
  • Uses good judgement in how to handle resourcing, scheduling conflicts

Account team relationship management

  • Responses/communication with account teams are prompt and professional, with follow up items clarified
  • Communicates with Project Managers on resource status
  • Issues are flagged in a timely manner to avoid delays in deliverables

Required Experience:

  • Detailed-oriented, proactive and organized, with the ability to multi-task, traffic and re-prioritize projects
  • Must be a confident, self-directed team player with strong relationship building skills
  • Demonstrated interest or experience in retail activation, content marketing, integrated campaigns and both digital and print projects
  • College diploma or University degree

  • Proficient in MS Office: Word, PowerPoint, Access and Excel
  • Strong project management and trafficking experience
